The renting process

From first enquiry to getting your keys.

A clear, step-by-step guide to what happens once you find a property you like.

1

Viewing

We arrange viewings at times that suit you, including evenings and weekends. One of our team accompanies every viewing. Where a current tenant is in residence, at least 24 hours' notice is required.

2

Placing an offer

All offers must be confirmed in writing (email) and include: property address, offered rent, proposed start date, tenancy duration, and any special terms.

3

Holding deposit (recommended for popular properties)

Takes the property off the market. Deducted from move-in monies if the tenancy proceeds. Forfeited if you withdraw or provide inaccurate referencing information. Refunded in full if the landlord withdraws.

4

Referencing

We require satisfactory references from an employer, a previous or current landlord, and a credit check. Personal references or a guarantor may also be required.

Tip: Notify your employer and previous landlord in advance — delays in referencing are the most common cause of slow tenancy starts.

5

Tenancy Agreement signing & deposit payment

Signed prior to the tenancy start date (via e-signature). Your security deposit is registered with a government-approved scheme within 30 days. All move-in monies must be cleared before the start date.

6

Check-in inventory & key handover

Conducted on your tenancy start date. We strongly recommend being present to raise any concerns immediately. Keys handed over at the end of the inventory.

During your tenancy

What to expect once you're in.

Rent payments

Payable monthly in advance by standing order. You are responsible for council tax, water, electricity, gas, broadband, and TV licence unless otherwise stated.

Maintenance & repairs

Report issues to us directly by WhatsApp, email or phone. We coordinate repairs on the landlord's behalf. Urgent issues are prioritised.

Your security deposit

Held in a government-approved scheme throughout. Returned at tenancy end, subject to any agreed deductions for damages or outstanding charges.

Periodic inspections

We carry out routine inspections on behalf of the landlord. You will always receive advance notice.

Rent reviews & moving on

We'll contact you ahead of your tenancy anniversary to discuss rent reviews or vacating. Check-out inventory compared against check-in to determine deposit returns.

Pets & special clauses

Pets, or extra occupants must be raised before signing. Most landlords are open to discussion when approached honestly at the outset.

Tenant fees: Under the Tenant Fees Act 2019 most charges are prohibited. You may be asked to pay a holding deposit (capped at 1 week's rent), a security deposit (capped at 5 weeks' rent), and certain default fees. Download our Tenant Fee Schedule (PDF) →
